Information Accuracy and Confidentiality Policy

At all times, you must be discreet about any information, facts, and operations of a strategic nature or unpublished information belonging to AGEXPORT. In the course of your work, you will be exposed to or have access to confidential information about the Association, customers, suppliers, and competitors, financial statements, operational and strategic plans, potential new products, technology, institutional manuals, processes, systems, and procedures, legal or administrative disputes, organizational changes, and personal information about employees. In addition, information from each of the associated companies, such as intellectual and industrial property, trade secrets, trademarks, patents, and copyrights, pricing structures and policies, among others.

Information security and management

Those who have employees under their supervision are jointly responsible for ensuring that they make proper use of information, and must therefore take the necessary measures to guarantee compliance with the provisions of the information security policy.

We must not disclose or communicate confidential or privileged information to third parties, except when required for business reasons and when authorization to disclose it has been obtained. In this case, the immediate superior or the person responsible for the information must always be notified in writing.

When confidential or privileged information is disclosed or communicated to AGEXPORT personnel for a justified reason, the nature of "confidentiality" must always be emphasized.

All persons acting as members of boards of directors, associates, external auditors, consultants, and collaborators of AGEXPORT must sign a confidentiality agreement in which they agree to make proper use of the information. In the case of suppliers, a confidentiality clause will be included in contracts and purchase orders, when relevant to consulting services and studies, to ensure compliance with this policy.

If you cease to be a contributor to the Association, your obligation to protect confidential information will continue until such confidential information becomes public knowledge or AGEXPORT no longer considers it to be confidential.

Information requests from authorities, third parties, and the media

It is important to comply with the requirements established by the various regulatory bodies to which the Association is subject. When a government authority requests information from the Association, the request may be addressed provided that it is submitted in writing, meets the legal requirements, and has the authorization of the immediate superior.
To ensure that all communications are effective and accurate, employees who receive requests for information from the media, the press, or the public must forward the requests to the Institutional Relations Division and the Communications Department. It is vitally important that you never respond to media requests on your own, as any inappropriate or inaccurate response, including refusal or decline to provide information, could result in adverse publicity and otherwise seriously damage the Association's image.

This policy does not apply to requests for information that is already available in the public domain, such as reports, memos, or other periodical publications.

If you identify any incorrect publication of data or news that affects AGEXPORT's image, please immediately inform the Institutional Relations Division and the Communications Department.
